1. Introduction

This Privacy Policy explains how Rehear collects, uses, stores, shares and protects information when you download, install, open or use the Rehear mobile application, the related website or any other service connected to Rehear (together called the “Service”). The company that operates the Service is referred to in this document as “Rehear”, “we”, “us” or “our”. When this document uses the words “you” or “your”, it means the person who uses the Service.

Rehear takes your privacy seriously. The purpose of this document is to tell users what personal information we collect, why we collect it, how long we keep it, who we share it with, and what choices you have about your information. When you use the service, you agree on the part that we handle your information in the ways described in this Privacy Policy. If you do not agree with the practices explained here, please do not use the Service.

We may change this Privacy Policy from time to time. When we make material changes, we will try to inform you in advance through a notice inside the app, by email, or on our website. The version that is displayed at the time you use the Service is the version that applies to your use. We recommend that you review this document occasionally, so you stay informed about how we handle information.

2. Information we collect

We collect several types of information so the Service can work properly, improve over time, and provide good experience. Some information is collected automatically whenever you use the app. Some information is collected only when you choose to give it to us.

First, we collect information that you actively provide. When you create an account, we usually ask for an email address and a password. In some cases, we may also ask for a display name or other basic profile details that help you recognize your own account. If you choose to pay for a subscription or make an in-app purchase, we receive payment-related information from the app store (Apple App Store, Google Play Store or other platform) such as a transaction identifier, purchase date, and subscription status. We do not receive or store your full credit card number, bank account details, or other sensitive payment card information.

Second, we collect content that you upload or create inside the Service. This includes video files, audio files, images, documents, or any other material you decide to process through ReHear. We also collect the transcripts, edited audio clips, playlists, AI-generated summaries, rewritten articles, bookmarks, highlights, and any other output that the Service creates from your uploaded material. This user content is the most important category of information we handle because it is the main reason people use the app.

Third, we collect technical and usage information automatically. This includes the type of device you use (for example iPhone or Android phone), the operating system version, the app version, screen size, language setting, time zone, internet connection type, IP address, mobile carrier name if applicable, and unique device identifiers such as IDFA, GAID or similar advertising identifiers. We also collect information about how you interact with the Service:

– which features you open,

– how long you spend in each screen,

– which buttons you tap,

– which errors occur when the app crashes

– which videos or audio files you process most often

3. How we use information

We use the information we collect for a small number of clear purposes. The first and most important purpose is to provide the Service itself. We need to store your uploaded videos and audio so we can convert them to audio files. We need to process the audio so we can create transcripts. We need to keep your transcripts and edited versions so you can open them again later. We need your playlists, bookmarks, and highlights so the organization you created stays saved. We need payment information from the app store so we can know whether you have an active subscription and unlock the correct features.

We may look at usage patterns to find out which parts of the app are used most, which features cause confusion, which screens have high drop-off rates, and which problems appear frequently. We use this information to fix bugs, make the app faster, improve transcription accuracy, train our artificial intelligence models to understand different accents and speaking styles better, and design new features that users want.

Now to communicate with you, we may send you emails or in-app messages about important account information (for example password reset requests, subscription renewals, major updates, service, or legal notices). We may also sometimes send messages about new features or tips on how to use the app more effectively. You can choose to stop receiving non-essential messages at any time.

Please note that we do not sell your personal information to advertising companies. We do not use your uploaded content or transcripts to build advertising profiles about you.

4. How we share information

We share information only in limited situations.

We share some information with service providers that help us run the Service. These companies include cloud storage providers, content delivery networks, email delivery services, crash reporting tools, analytics providers, and payment processors. All of these companies are required by contract to protect your information and to use it only for the specific tasks we ask them to perform. They are not allowed to use your data for their own purposes or to share it further.

We may share information if we believe it is necessary to comply with a law, regulation, or valid legal process (such as a court order or subpoena). We may also share information to protect the rights, property or safety of Rehear, our users or the public if we believe there is a serious and immediate threat. If we are involved in a merger, acquisition, sale of assets, or similar transaction, your information may be transferred as part of that deal. We will try to notify you if a significant change in ownership happens.

5. Storage and international transfers

Your content and personal information are stored on secure servers located in several countries. Because the internet is global, information you provide may be transferred to and processed in countries outside your home country. These countries may have different data protection laws than the country where you live.

We use companies that follow strong security standards and that offer appropriate safeguards when information moves across borders. When we use service providers in countries that do not have adequate decisions from relevant data protection authorities, we rely on standard contractual clauses or other approved transfer mechanisms to protect your information.

6. Retention

We keep your information only as long as necessary for the purposes explained in this policy. Account information (email address, account settings) is kept while your account exists and for a short period after you delete the account so we can handle possible reactivation requests or legal obligations. Uploaded videos, audio files, and generated content (transcripts, playlists, summaries) are kept while your account is active, and you have not deleted them. If you delete a file from the app, we usually remove it from our servers within a few days. After you delete your entire account, we remove most personal data and user-uploaded content within 30 to 90 days, except for small amounts of information we must keep for legal, security or accounting reasons.

7. Your rights and choices

Depending on the laws that apply to you, you may have several rights regarding your personal information.

You can ask to see what personal information we hold about you. You can ask us to correct information that is wrong. You can ask us to delete your account and the most associated data. You can object to certain types of processing (for example, marketing messages). You can ask us to restrict processing in some situations. You can ask for a copy of your data in a commonly used electronic format.

You can also manage many choices directly in the app: you can delete individual files, clear playlists, change notification settings, or delete your entire account. If you use the app on iOS or Android, you can also limit tracking through the device settings (for example “Limit Ad Tracking” or “App Tracking Transparency”).

8. Security

We take the protection of your information very seriously and put real effort into keeping it safe from people who should not see it, from being lost, from being used in the wrong way, or from being changed without permission. To do this, we use a combination of technical tools and internal rules that work together. We limit who inside our team can see your data by using strong access controls. We make sure only a few people who absolutely need to look at it for their job can do so, and even then, they must go through multiple checks. We run regular security reviews to spot and fix possible weak points before they become problems, and we constantly monitor any unusual or suspicious activity that might indicate someone is trying to break in. Please keep in mind that there is always a small risk that something could go wrong because of new kinds of attacks we have not seen before, human mistakes, or other unexpected events. For this very reason we might ask you to do your part: keep your account password strong and secret, never share it with anyone, and be extra careful when you connect to the app over public Wi-Fi or other networks you do not fully trust. If you follow these simple habits, together we make it much harder for anything bad to happen to your information.

9. Cookies

If you use the Rehear website, we may use cookies, web beacons, local storage or similar technologies to remember preferences, analyze usage and personalize your experience. The mobile app uses similar techniques for the same purposes. You can manage most cookie preferences through your browser settings. Now because the majority of Rehear usage happens inside the mobile app, these technologies have a smaller role than in typical websites.

Luckily, you can manage or turn off cookies and similar tracking through the settings in your web browser as most browsers let you block cookies completely, delete them after each visit, or only allow them from sites you trust.

10. Children’s privacy

The Service is not directed to children under the age of 13 (or the minimum age required in your country). We do not knowingly collect personal information from children under 13.
